Refund Policy
What can be refunded, within what window, and how to ask. Written to be read before you pay, not after.
A note to DEWI, not to the reader
This page is a working template. Every refund window and processing time below is a placeholder in square brackets that DEWI must set, and the whole page should be reviewed by a lawyer before it is published. Nothing here should be read as legal advice.

What this policy covers
This policy covers money paid to DEWI — membership fees, event and gathering tickets, exhibition and stall charges, member presentation slot fees, and award entry fees.
It sits alongside the Terms & Conditions. Where the two describe the same thing, read them together.
Membership fees
A membership fee pays for a year of the collective: the gatherings, the initiatives, the directory, the groups, and the work the governing body does to keep them running. Most of that cost is committed before the year begins.
You may ask for a refund of a membership fee within [PLACEHOLDER — DEWI to set the membership refund window, e.g. N days from payment] of paying, provided you have not yet attended a gathering as a member. Where an application is declined by the governing body, any fee taken is returned in full.
After that window, or once you have attended your first gathering, membership fees are not refunded. A membership can be cancelled at any time, but cancelling stops future renewals rather than returning the current year.
Where a membership is terminated for a breach of the code of conduct, no refund is due.
Event tickets
Tickets to DEWI events are refundable if you cancel more than [PLACEHOLDER — DEWI to set, e.g. N days] before the event date. Inside that window they are not refundable, because catering, venue, and production costs are committed by then.
A ticket can usually be transferred to another attendee instead. Ask us in writing before the event and we will change the name where the venue allows it.
No-shows are not refunded.
Stalls, exhibitions and sponsorship
Stall and exhibition charges for events such as the Maaya Bazaar cover an allocated space and are committed well in advance. They are refundable only up to [PLACEHOLDER — DEWI to set the stall cancellation window] before the event, and after that only if the space is resold.
Sponsorship is governed by the written agreement between the sponsor and the collective. Where that agreement says something different from this page, the agreement applies.
Member presentation slots
Two members present at each monthly gathering, for a fee, and slots are allocated in advance. If you cannot make your slot, tell us as early as you can and we will move you to a later gathering at no extra charge.
A slot fee is refunded rather than moved only where DEWI cannot offer you an alternative gathering within [PLACEHOLDER — DEWI to set, e.g. N months].
If DEWI cancels or moves something
If the collective cancels an event outright, you choose: a full refund, or credit against a future DEWI event.
If an event is postponed, your booking moves to the new date. If the new date does not suit you, ask within [PLACEHOLDER — DEWI to set, e.g. N days] of the announcement and we will refund you in full.
A change of venue, speaker, performer, or running order is not a cancellation and does not by itself create a refund. Gathering venues change every month by design, and are confirmed to members in advance.
What is not refundable
- Donations to NEEV Foundation, which are put to work as soon as they are received.
- Award nomination and entry fees, which pay for the jury's assessment however it turns out.
- Fees for a gathering or event you did not attend without telling us in advance.
- Third-party costs you booked yourself — travel, accommodation, and the like.
- Anything already used: a directory listing that has been published, a slot that has been presented, an event that has been attended.
How to ask for a refund
Write to tridewi@gmail.com from the email address on the booking. Put "Refund request" in the subject line and tell us:
- Your name, and your membership or booking reference.
- What you paid for, when, and how much.
- Why you are asking.
We acknowledge refund requests within [PLACEHOLDER — DEWI to set an acknowledgement window] and decide within [PLACEHOLDER — DEWI to set a decision window]. Approved refunds are returned to the original payment method, in the original currency, within [PLACEHOLDER — DEWI to set a processing window]. How long the money then takes to appear is up to your bank or card issuer.
Transaction charges levied by the payment provider may be deducted where the provider does not return them. We will tell you if that applies before we process the refund.
Disputes
If you disagree with a decision, write to the governing body and say why. We would far rather settle it in a conversation than have you raise a chargeback with your bank, which freezes the money and helps nobody.
DEWI will never ask you for card numbers, bank credentials, or passwords in order to process a refund. A refund goes back the way it came.
Changes to this policy
This policy may be updated. The date at the top of this page shows when it last changed. The version in force on the day you paid is the version that applies to that payment.
