Who this policy is about

DEWI — Dynamic Entrepreneurs, Women & Innovators — is a women's collective based in Hyderabad, Telangana, India. This policy covers the information the collective holds about you: what it collects through this website, at its gatherings and events, and through its membership process; what it does with that information; and what you can ask it to do with yours.

It applies to visitors to this site, to people who write to us, to applicants, to members, and to guests at DEWI events.

What we collect

We only ask for what we need to answer you or to run the collective. In practice that is:

• Enquiry form — your name, email address, phone number, the subject you select, and whatever you write in the message.
• Membership application — the above, plus your business or profession, the city or chapter you want to join, and anything you choose to tell us about what you are building.
• Membership records — the fact of your membership, your DEWI ID, the gatherings you attend, and any presentation slots allocated to you.
• Event registration — the name and contact details of each attendee, and the ticket or stall type booked.
• Directory listing — only the business details you ask us to publish.
• Photographs and video taken at DEWI gatherings and events.
• Basic technical information your browser sends when you load this site, such as your approximate location and device type.

We do not ask for card numbers, bank details, passwords, or identity documents through this website, and no one from DEWI will ask you for them by email, phone, or WhatsApp. Where a payment is taken, it is taken by a payment provider on its own systems and DEWI never sees or stores your card details.

Why we collect it

Each piece of information has a job:

• To reply to your enquiry and, where relevant, to keep the conversation going.
• To assess a membership application and arrange the conversation that follows it.
• To administer membership — ID cards, indoctrination material, gathering invitations, and venue confirmations.
• To run events: registration, entry, seating, stalls, and safety.
• To publish the business directory, where you have asked to be in it.
• To document the collective's work in its own media, press coverage, and social channels.
• To keep the website working and to understand, in aggregate, which pages people read.

Who sees it

Your information is seen by the members of the governing body and the chapter coordinators who need it to do the above, and by the service providers that carry it — our email provider, our website host, and, for paid events, the payment provider.

We share nothing with sponsors, partners, or other members beyond what you have asked us to publish or have consented to in writing. DEWI does not sell personal information, and does not rent or trade contact lists.

We will disclose information where the law requires it of us, or where it is necessary to protect someone's safety.

How long we keep it

Enquiries that do not lead anywhere are kept for [PLACEHOLDER — DEWI to set a retention period, e.g. 12 or 24 months] and then deleted. Unsuccessful membership applications are kept for the same period, so that we can recognise you if you apply again.

Member records are kept for as long as you are a member and for [PLACEHOLDER — DEWI to set, e.g. a stated number of years] after a membership lapses, so that the collective can honour past service and reinstate members who return. Financial records are kept for as long as the law requires them to be kept.

Photographs and video from events are kept in the DEWI archive indefinitely, because they are the record of the collective's own history.

Your choices, and how to have your information deleted

Write to tridewi@gmail.com and ask. You can ask us to show you what we hold, to correct anything that is wrong, to stop sending you invitations and updates, to take your listing out of the directory, or to delete your information entirely.

Please put what you want in the subject line — for example, "Data deletion request" — and write from the email address we hold for you, so that we can be sure it is you. We will act on it within [PLACEHOLDER — DEWI to set a response window] and tell you when it is done.

Deleting your information ends your membership, because we cannot administer a membership we hold no record of. Some records may have to stay where the law requires us to keep them; if that applies, we will say so.

Photography at gatherings and events

DEWI gatherings and events are photographed and filmed, and the images are used in the collective's own media, in press coverage, and on its social channels. If you do not want to appear, tell the organiser at the event or write to us afterwards with the date and we will take the image down from anything we control.

Cookies

This site uses cookies and similar storage only where it needs to: to remember your preferences and, where analytics are enabled, to count visits in aggregate. It does not use advertising cookies and does not track you across other websites.

You can block or clear cookies in your browser settings. The site will still work.

Children

DEWI membership is for adults. We do not knowingly collect information about children through this website. Children who attend family events with a parent or guardian may appear in event photography; a parent or guardian can ask us to remove an image at any time.

Keeping it safe

Access to member information is limited to the people who need it, and it is held in the accounts and services the collective controls. No system is perfect. If something goes wrong in a way that puts your information at risk, we will tell the people affected and say plainly what happened.

Changes to this policy

When this policy changes we will update the date at the top of this page. If a change materially affects what we do with member information, we will say so at a gathering and by email.
